Please read these Terms of Service carefully before using MailMind. By accessing or using our service, you agree to be bound by these terms. If you do not agree, do not use MailMind.
Acceptance of Terms
By creating an account or using MailMind in any way, you confirm that you are at least 16 years old, have the legal capacity to enter into a binding agreement, and agree to these Terms of Service and our Privacy Policy.
If you are using MailMind on behalf of a business or organisation, you represent that you have authority to bind that entity to these terms.
Description of Service
MailMind is an AI-powered email triage tool that connects to your Gmail account to help you prioritise, summarise, and draft replies to your emails. The service includes:
- Automated email categorisation (Urgent, Medium, Low, Archive)
- AI-generated email summaries
- AI-drafted reply suggestions
- Inbox analytics and filtering tools
- Morning briefing digest (Pro and Power plans)
MailMind is a productivity assistance tool. It does not send, delete, or modify your emails without your explicit action. All AI-generated content is a suggestion only — you remain fully responsible for any emails you send.
Accounts & Registration
Account Creation
You may sign up using Google OAuth. You are responsible for maintaining the security of your Google account and any activity that occurs under your MailMind account.
Accurate Information
You agree to provide accurate and complete information when registering. You must notify us promptly if your information changes.
One Account Per Person
Each individual may maintain only one free account. Using automated methods to create multiple accounts is prohibited and may result in immediate termination.
Subscription & Payment
Free Plan
The free plan allows up to 20 emails triaged per day. No credit card is required. We reserve the right to modify or discontinue the free plan with 30 days notice.
Paid Plans
Pro ($19/month) and Power ($39/month) plans are billed monthly in advance. Payment is processed by LemonSqueezy. By subscribing, you authorise recurring charges to your payment method.
Free Trial
New users may receive a free trial period on paid plans. No charge is made until the trial ends. You may cancel at any time during the trial without being charged.
Price Changes
We may change subscription prices with at least 30 days written notice. Price changes take effect at your next billing cycle. Continued use after a price change constitutes acceptance of the new price.
Refunds
Due to the digital nature of our service, we generally do not offer refunds after a billing period has begun. However, if you contact us within 7 days of a charge and have not used the service during that period, we will consider a refund at our discretion. Send requests to billing@mailmind.app.
Taxes
All prices are exclusive of applicable taxes. VAT and other applicable taxes will be added at checkout and are handled by LemonSqueezy.
Acceptable Use
Permitted Use
You may use MailMind for lawful personal or business productivity purposes in accordance with these terms.
Prohibited Conduct
You must not:
- Use the service for any unlawful purpose or in violation of any applicable laws
- Attempt to gain unauthorised access to any part of the service or its infrastructure
- Use the service to send spam, phishing emails, or unsolicited communications
- Reverse engineer, decompile, or attempt to extract the source code of the service
- Resell, sublicense, or commercially exploit the service without written permission
- Use the service to process emails containing illegal content
- Interfere with or disrupt the service or servers connected to the service
- Use automated scripts or bots to interact with the service beyond normal use
- Circumvent usage limits on the free plan through multiple accounts
Violation of these terms may result in immediate suspension or termination of your account without refund. We reserve the right to report illegal activity to relevant authorities.
Gmail API & Data
By connecting your Gmail account, you grant MailMind read-only access to your emails for the purpose of providing the triage service. You represent that you have the right to grant this access.
You may revoke Gmail access at any time through your Google Account settings. Revoking access will disable core functionality of MailMind.
Our use of Gmail data is governed by Google's API Services User Data Policy and our Privacy Policy. We do not store email content or use it for any purpose beyond providing the service.
AI-Generated Content
MailMind uses artificial intelligence to generate email summaries, priority rankings, and draft replies. You acknowledge and agree that:
- AI-generated content is a suggestion only and may contain errors or inaccuracies
- You must review all AI-generated draft replies before sending them
- MailMind is not liable for the consequences of sending AI-generated content
- AI output is not legal, financial, medical, or professional advice
- The accuracy of triage and summaries may vary depending on email content and context
You are solely responsible for any emails you send, regardless of whether the content was drafted with AI assistance. Always review drafts before sending.
Intellectual Property
Our IP
MailMind, its logo, design, code, and all associated intellectual property are owned by us or our licensors. These terms do not grant you any right to use our trademarks, brand names, or proprietary materials.
Your Content
You retain all rights to your emails and any content you input into the service. By using the service, you grant us a limited, non-exclusive licence to process your content solely for the purpose of providing the service to you.
Feedback
If you provide feedback or suggestions about the service, you grant us the right to use that feedback without restriction or compensation to you.
Disclaimers & Limitation of Liability
Service Provided "As Is"
MailMind is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that the service will be uninterrupted, error-free, or completely secure.
No Guarantee of Results
We make no guarantee that using MailMind will result in improved productivity, reduced email volume, or any specific outcome. Results will vary by user.
Limitation of Liability
To the maximum extent permitted by applicable law, MailMind and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill.
Our total liability to you for any claim arising from these terms or your use of the service shall not exceed the amount you paid us in the 12 months preceding the claim, or EUR 50, whichever is greater.
Consumer Rights
Nothing in these terms limits or excludes any rights you may have as a consumer under applicable EU or Maltese law that cannot be waived by contract.
Indemnification
You agree to indemnify, defend, and hold harmless MailMind and its operators from any claims, liabilities, damages, costs, or expenses (including reasonable legal fees) arising from your use of the service, your violation of these terms, or your violation of any third-party rights.
Termination
Termination by You
You may cancel your account at any time from your account settings. Cancellation takes effect at the end of your current billing period. You will retain access until then.
Termination by Us
We may suspend or terminate your account immediately if you violate these terms, engage in fraudulent activity, or if we are required to do so by law. We may also terminate the service entirely with 30 days notice.
Effect of Termination
Upon termination, your right to use the service ceases immediately. We will delete your personal data in accordance with our Privacy Policy. Provisions that by their nature should survive termination will do so, including payment obligations, intellectual property clauses, disclaimers, and limitation of liability.
Changes to the Service
We reserve the right to modify, suspend, or discontinue any aspect of the service at any time. We will provide reasonable notice of significant changes. Your continued use of the service after changes constitutes acceptance.
Governing Law & Disputes
These terms are governed by the laws of Malta and the European Union. Any dispute arising from these terms or your use of the service shall be subject to the exclusive jurisdiction of the courts of Malta, without prejudice to any mandatory consumer protection rights you may have in your country of residence.
Before initiating legal proceedings, we encourage you to contact us to resolve disputes informally. Most issues can be resolved quickly through direct communication.
General Provisions
- Entire Agreement — These terms and our Privacy Policy constitute the entire agreement between you and MailMind regarding the service
- Severability — If any provision of these terms is found unenforceable, the remaining provisions remain in full force
- No Waiver — Our failure to enforce any right or provision does not constitute a waiver of that right
- Assignment — You may not assign your rights under these terms without our written consent. We may assign our rights without restriction
- Language — These terms are written in English. In case of conflict with a translated version, the English version prevails
